When an affiliate begins a work assignment with COA, a start and end date is entered in Infor GHR to create the affiliate account. The goal is to change the status of affiliate work assignments to inactive when the affiliate assignment ends.
The Audit Affiliate Expiring Work Assignment Report lists assignments that remain active in the system after the end date expires, do not have an end date on file, or are within 30 days of expiration.
If you are responsible for managing affiliate work assignments, you will receive a notification in your email with a copy of the audit report attached. You must work on the report to identify assignments that need to be extended or inactivated. If no action is taken by the work assignment end date, HRIS will begin the process of terminating the work assignment record in the system.
Before you begin, here are some IMPORTANT notes about Affiliate Work Assignments.
When an affiliate work assignment is inactivated, the affiliate will not have security access to COA systems:
In some cases, there may be a need to end a work assignment before the scheduled end date. For example; an affiliate leaves the company before their scheduled assignment ends.
You must submit a Termination Action Request request as soon as the affiliate leaves the company to prevent unauthorized access to the system.
The most recent update of the Audit Affiliate Expiring Work Assignment Report is available in Infor GHR and can be accessed by logging in to Self Service and accessing the reports link.

Follow the steps in this article to work the Audit Affiliate Expiring Work Assignment Report to identify and resolve work assignments that need to be extended or inactivated in Infor GHR.
Upon Receiving the Report:
1. Review the fields in the report for accuracy.
NOTE: The Effective Date*, Assignment Expiration, Assignment Type, Position*, Direct Manager, and Dotted-Line Manager fields can be updated by entering a Transfer Action Request.
Affiliate Work Assignments Past the Assignment Expiration Date
1. Affiliate Work Assignments past the appointment end date are denoted by a triangle icon in the COA ID column on the report.
2. If you need to extend the end date for the work assignment, submit a Transfer Action Request to update the assignment expiration date.
3. If you do not need to extend the end date for the work assignment, no further action is required.
Affiliate Work Assignments Without An Assignment Expiration Date On File
1. Affiliate Work Assignments that do not have a work assignment end date on file are denoted by a circle icon in the COA ID column.
2. If there is no end date in the Assignment Expiration field, and the affiliate is still with the company, submit a Transfer Action Request to update the work assignment expiration date. NOTE: Select a future end date that does not exceed six months from the current date.
3. If there is no end date in the Assignment Expiration field, and the affiliate has left the company, submit a Termination Action Request to end the work assignment in the system.
Affiliate Work Assignments That End Before the Scheduled Assignment End Date
1. If the affiliate's work assignment ends before the scheduled assignment end date, enter a Termination Action Request to change the status of the work assignment from active to inactive in Infor GHR.
2. If the work assignment is not ending before the scheduled assignment end date, and you do not need to update the assignment end date, no further action is required.
REMINDER: Enter a termination action request immediately when an affiliate assignment ends or if an affiliate leaves before the assignment end date. This action begins the account inactivation process and helps to prevent unauthorized security access to COA systems.
