WFM - How to Swap or Give Away Shifts

Staff can use the new My Schedule Hub to do a variety of actions.  In the hub, the My Schedule tab includes the ability to Swap shifts or Give Away (one way trade) shifts.  

Note: Most units will not have the Post to a billboard turned on so this will be grey for many users.

If you are having trouble with the self service shift swap, your scheduler can do it manually for you. 

  • Only whole shifts can be swapped. No partial swaps can be done in self service. Only an editor-scheduler can do a partial shift swap manually on the schedule.
  • Shift swaps must be completed by all parties prior to the day of the first shift. If the swap is not fully complete it will be locked open and cannot be cancelled. We recommend staff self service swaps be completed 48 hours in advance of the shift, after that the scheduler should update the shifts.
  • Both parties must be available. On call shifts or overlapping times will block swaps. Schedulers can adjust shift times prior to the swap.
  • Both parties must be qualified for the traded shifts. If a person does not have the same title, they cannot swap. Contact WFM if we need to update secondary titles on staff or map equivalent titles.
  • Both parties must be able to be scheduled to the team the shift is on.

1.  In Staff Self Service, click on "My WFM Time & Schedule". 

2.  Click on "My Schedule Hub".

3.  The "My Schedule Hub" page will open showing your schedule calendar. (If this does not open the first time, click on My Schedule Hub again.)

4.  Click on a date with a shift you wish to Swap or Give Away, the right side will show the available actions and the details for that day.  

Note: The Co-Worker schedule and Billboard will be discussed in a different article. 

5.  Click on the blue "Swap" icon with two arrows on the day details. This will start the process to exchange a shift with another person.  Notice that the times of shift are already filled in.  If you are not working a shift in exchange, you click "Give Away".

6.  Below the times you will two options.  The first option is to click the magnifying glass icon on the search box to find a person by name or number.  If you search by name, enter last name comma space then some of the first name letters. 

7.  The second option is below the search box.  You can see "Eligible Teammates" who have the same role as you who could qualify to work your shift.  

8.  After you select the person for the swap, you will then need to chose their shift you plan to work in exchange. The first date may not have a shift available, so use the date arrows to find a future date with shifts.

Note:  For a Give Away shift, the only difference is that you will not select a shift from the other person to exchange.  You are asking them to only take your shift. 

9.  When you find a shift you plan to work, click the circle next to the shift to select it.  Then click "Continue".

Note: The "Cancel" option is not working at this point, but you can "X" out of the screen if you chose not to swap.

10.  A confirmation box will show the two shifts you are asking to swap.  You can also type a message to the person with the other shift.  They will have to approve the swap to make it take effect. 

11.  A message will appear to confirm the action was submitted to send the request to the selected person.

12.  You will be able to return to this date on the My Schedule Hub page to see the status of the pending Swap or Give Away.
 


13.  You will also receive a response in your WFM Messages when the Swap or Give Away has been approved or rejected. 


Please note:  Staff are expected to work their scheduled shift until the Swap is completed by the other person.  If the Swap is still Pending when your shift is getting closer, contact your unit scheduler for assistance.
