Start Date Changes

Process
How do I update a Candidate's Start Date?
The answer depends on whether the candidate has been formally hired in the system yet.
  • Not yet Hired: Update the expected Employment Start Date directly on the Offer Details. No additional action is required.
  • Already Hired
    (PREHIRE):
    Inform HRIS of the new expected start date. HRIS will make all necessary system updates.

Candidate No Longer Starting

Process
A candidate is no longer starting — what do I do?
The answer depends on whether the candidate has been formally hired in the system yet.
  • Not yet Hired: Disposition the candidate and re-open the requisition.
  • Already Hired
    (PREHIRE):
    Inform HRIS. HRIS will inactivate the PREHIRE record. You can then perform the Undo Hire action, which moves the candidate to the disposition step and automatically re-opens the requisition.

Pre-Boarding Completion

The candidate hasn't finished Pre-Boarding?
⚠ Effort needs to be made to ensure the candidate completes the Pre-Boarding program before the initial Hire action is performed.
Work directly with the candidate to resolve any outstanding Pre-Boarding items prior to proceeding with the Hire transaction.

Remote Employees

Process
What additional steps are required for remote employees?
Remote employees require proactive coordination across several departments. Follow these steps in order:
  • Notify HRIS that the employee is remote at the time the Offer is Accepted, so that information can be passed to downstream departments such as Payroll.
  • When performing the Hire action, check the box indicating the employee is remote.
  • Have the employee complete the New Hire Paperwork and submit it to HR before their start date.
  • HRIS will then coordinate the Remote I-9 Verification process.
💡 Remote status must be communicated to HRIS proactively at offer acceptance — do not wait until the Employee Starts.

Things to Check When Performing Hires

Review Carefully
What should I double-check before completing a Hire transaction?
Before submitting any Hire transaction, verify the following:
  • Employee Name: The name on the transaction is how it will appear on the employee's badge. A name error on day one creates a poor first impression and requires correction after the fact by multiple parties.
    • Verify Capitilization and Spelling.
    • Remove "none" or "NA" from Middle Names. Obtain full middle names when possible.
    • If Employee has a preferred name, ensure it is listed.
  • Correct Position: The employee must be hired into the position they are actually being brought on for, not simply the posted position.
    • If you posted a CRT but are bringing someone on as an RRT, hire to the RRT position.
    • If you posted an APP, hire to the Clinician position due to credentialing requirements.
💡 Do not wait until the Prehire transfer to correct the position. Having this correct from the beginning will benefit all the parties downstream such as Provisioning & Security.

Orientation Attendance

The employee will not be attending orientation — what should I do?
When performing the Hire action, leave the Orientation Date field empty. An empty date signals to the NEO team that this employee will not be attending orientation. No other step is needed to communicate this.

Affiliate Orientation Attendance

What if I have an Affiliate attending orientation?
Affiliates attending orientation will not be tracked on the Infor NEO List. You will need to separately communicate affiliates to the Alyce & Amy.

Hire Timing

By when do I need to have my Hires complete?
Please complete all hires by the Wednesday before Orientation so they are included in the 8:00 AM reports sent to other teams who need to prep for the new group of employees. We understand that urgent business needs or pending pre-screening clearances can occasionally cause delays; however, these should be treated as rare exceptions rather than the standard process. Note that you can always perform the hire and adjusted the Start Date later if needed.
