Request Approved FTE - Add to Staff

This article will guide Managers through the process of reviewing approved FTE variance and requesting to update the approved FTE for staffing needs.  Approved FTE is allocated by Unit and Job combination, not Accounting Unit and Position.

Approved FTE is the baseline for authorization to hire.  This is different than your finance FTE which is based on expected expenses, including premiums and overtime.   

NOTE:  This is not your finance budget but your approved to hire FTE. Temporary Overload/Overlap Staffing should not be submitted as a request to change approved FTE.  This request is only used as ongoing to add to staff.

1. Select Team Approved FTE


Review Approved FTE Variance

This is the Variance Screen. You can view your allocation of staffing FTE for hires under Allocation, Current Number of Staff, and change pending information on this screen. 

2. Click the link in the Allocation field for the Clinical Assistant job. This number totals all of the FTE available to hire this role in this unit, no matter which position is used.  

NOTE:  This is not your finance budget but your approved to hire FTE.


3. You can view the Organization Unit, Job, Budget Date, and available FTE for the Clinical Assistant job from this screen.  There will be a new date and amount for any changes approved throughout the annual cycle. 

4. Select the left arrow at the top of the browser to return to the previous screen.


View information for Current Staff in the Clinical Assistant Position.  

5. Select the link in the Current Staff column to view additional information about the FTE for current staff in the Clinical Assistant job.



6. You can view the names of all staff currently in the Clinical Assistant job on this screen.  For Example: Alisha Clinical Assistant is in the Clinical Assistant position with an Approved FTE of 0.60000.   

7. Select the left arrow at the top of the browser to return to the FTE Variances Screen.



NOTE: Approved FTE is linked to Org Unit (Team/Job allocations and is not tied to Positions.  

In this example, the manager would like to hire additional clinical assistants. He has a budget of .7 with a total .6 for current staff, leaving an available FTE of .1. Because there is not enough FTE to hire more than one clinical assistant, the manager will need to submit a request to add to approved FTE.



Request a New Budget (Approved FTE)

8. Click the link in the Budget field for Clinical Assistant.



9. Select "Request a New Budget".



10. Complete the fields on the "Request a Budget" form to submit a request to add additional FTE to budget. 

  • The value in the Budget Reason field will default to BUD-CHANGE) (Move FTE Budget).
  • Enter the relevant information about your request in the Comments field. This field is a required field. You must fully justify the request for a new on-going FTE allocation. 

11. Select the calendar icon in the Budget Date field to select the date for the Budget.  This will typically be the current date.

The Organization Unit and Job field will default.  You can change the job code to request FTE for a different job if needed.

Enter the New Total FTE* or the Budget Change Amount.   The "Other" field will calculate.

The Total on the form will become the new total for that unit/job combination.


12. Review the information entered on the form for accuracy.

  • If you find that you do not need to submit a new budget to add to FTE, you may select cancel to discard your entry.
  • If you find that you need additional information before you can submit your request, you may select "Save as Draft" to save your changes to submit at a later time.
  • If you have completed all required fields on the form, you may select "Submit" to save your changes.

    Approval Workflow Process

    Your request will be routed to the following for approval.

    Division Director, if no Division Director; Vice President

    Vice President will be notified

    Executive Budget Approver

    You will be notified when the approvals are complete


    Review Submitted Actions

    NOTE: You can find your submitted request by selecting My Actions from the My Service Center Menu in Staff Self Service.

    If you need to make a change to your request, you can withdraw it from the Actions menu. For detailed instructions on viewing your submitted action request, review the "View My Actions" Article in Vision HR.
