Review Candidate Applications

This article will guide Managers through reviewing candidate information in Self Service.

From the Manager Menu in Supervisor Self Service:

1. Select "Team Vacancies".

NOTE:  If you’re on the interview team but not the Direct or Hiring Manager, you’ll review candidate details in the Interview Candidate Report from the Reports menu in Supervisor Self Service.


2. If you require additional workspace, select the Hamburger Icon to collapse the Manager menu.


3. View Position Vacancies

a. The list of vacancies displays under "My Requisitions".

b. The status defaults to "Open"

c. You change the default for the status by selecting the filter icon.

d. You can change the filter by Job ID, Recruiter or Hiring Manager.


4. Reviewing Candidate Information

In this example, we will review candidates that have applied for the Clinical Assistant Position.

Under "My Requisitions":

a. Select the checkbox beside the Clinical Assistant Position and then click on the Workflow tab.


b. The system displays a list of candidates that applied for the Clinical Assistant position that are ready for review. There are 6 candidates ready for review.


5. Qualifications and Behavioral Fit

a. External candidates, Bob Glover and Gina Test, both appear to meet either the education or certification qualification requirement for this position and shows a 50% qualification fit.


b. The third candidate, internal applicant, Donna Unit Clerk, did not appear to meet the qualification fit requirements and has not taken the Behavioral Fit assessment and shows a Zero percent Qualification and Behavioral Fit.

NOTE:

Candidate Evaluation Tools: Quick Reference Guide

Qualification Fit Tool

  • Compares specific certification and license codes only.
  • Certifications entered in the "Other" text field will not be recognized by the system.
  • Do not rely solely on the match percentage — always review each candidate’s qualifications manually.

Behavioral Fit Tool

  • A 100% score means the applicant completed the Behavioral Assessment, but does not indicate best fit for the role.
  • Scores below 100% reflect a valid comparison to a mapped position.
  • Behavioral Fit applies only to mapped roles:
    • Most clinical and frontline roles are mapped.
    • Most back-office roles are not mapped.

Best Practices

  • Always review the full Behavioral Assessment report.
  • Avoid making decisions based solely on percentage scores.
  • Use both tools as guides, not final decision-makers.

6. View Applicant Resume

a. Select the "View Resume" link to view the resume for external candidate Bob Glover.


b. The resume displays in PDF format for review. (This is a mock example resume.)


7. View Attachment

a. To view Attachments for external candidate, Bob (Bryan) Glover, select "View Attachments".


b. To view the applicant's resume, application, or other attachments, select the document icon beside the document you wish to view.

c. Select the "document Icon" on the Application line to view the candidate application.


d. The application opens in PDF format where you can review details including disclosures, screening questions, education, licensures, and work history.  Additionally, you will find experience and skills if provided by the applicant.

NOTE: The system scans and extracts information from the candidate resume; however, some details may not be transferred accurately.  Be sure to review both the candidate's application and resume carefully.


8. Manager To Review Section

a. The system shows the applicant's current title, employer, and education details in the Manager to Review section. If the applicant has applied to other positions, the number of extra applications will appear above Date Applied.
Additionally, if the applicant has received an offer for a different position, Offer Pending will display under Current Education.


b. To open the detail record for the candidate, select the checkbox on the candidate line, and select "Open Detail".

NOTE: You can also view the candidate's detail record by right-clicking on the candidate row and select "Open Detail".  


c.When the detail screen opens, you'll see the "View Resume" and "Open Resume" buttons. If there is no resume attached, the system will create a virtual resume using the information the candidate provided in the application.  

Additionally, you can view contact, current employment details, Qualifications Fit and Behavioral Fit information on this screen.

NOTE:  If the system detects a possible duplicate profile, it will display "Possible Duplicate" on the screen. HR will research and resolve possible duplicate candidates.


d. You will find quick links to approval tracking, interviews, email correspondence, notes and other information under the candidate Core Profile.   The Preference section is not currently in use.   

The Contact Information section provides contact information to be used for candidate interview scheduling.


e. The Talent Profile contains the applicant's Employment, Experience, and Education History.  Additionally, you will find the applicant's credentials.  You may also find awards and acknowledgements listed in the Achievement section for Internal Applicants. 


f. Additionally, you will find the applicant's credential information in the Talent Profile.  You may find awards and acknowledgements listed if the applicant is a current or former employee and received recognition while working for Children's Alabama.


g. We see the applicant’s qualifications fit was assessed at 50%, as shown in the Fit Analysis section. They met the Essential Education Requirement. However, their profile does not show the Essential Credential of Basic Life Support. It is possible that the candidate has the credential, but it is not listed in their talent profile.  In this case, the managers should discuss this with the applicant during the interview process to clarify their credential status.

h. Here you will find the Workflow History and the applicant's screening questions results.


9. Create and Add Notes to the Candidate Profile

a. To add notes to a candidate’s profile, click Create Note at the top of the "Manager To Review" screen. You can do this after the interview or at any point during the application process.


b. Enter a title in the Description field, provide details in the Text field, and then select Submit to save the note to the candidate's profile.

NOTE:  When the note is saved to the candidate profile you will receive a notification that the action is complete.   


c. To view notes in a candidate's profile, go to the Core Profile section, then click on Quick Links and select the Notes option.
