WFM - Swap or Give Away Shift

WFM is a time management application used for scheduling & timekeeping, helping ensure employees receive timely and accurate pay for hours worked. In the My Schedule Hub, staff can swap or give away shifts (one-way trade). This article walks you through the process of swapping or giving away shifts in WFM.

My Schedule Overview

  • Only whole shifts can be swapped. No partial swaps can be done in self service. Only an editor-scheduler can do a partial shift swap manually on the schedule.
  • Shift swaps must be completed by all parties prior to the day of the first shift. If the swap is not fully complete it will be locked open and cannot be cancelled. We recommend staff self service swaps be completed 48 hours in advance of the shift, after that the scheduler should update the shifts.
  • Both parties must be available. On call shifts or overlapping times will block swaps. Schedulers can adjust shift times prior to the swap.
  • Both parties must be qualified for the traded shifts. If a person does not have the same title, they cannot swap. Contact WFM if we need to update secondary titles on staff or map equivalent titles.
  • Both parties must be able to be scheduled to the team the shift is on.

Note:  In most units, the "Post to a Billboard" option is disabled., so it may appear grayed out for some members of staff. If you experience issues with self-service shift swaps, your scheduled can complete the process manually for you.

1 - My WFM Time & Schedule

    From Staff Self Service, select My WFM Time & Schedule.

2 - My Service Center

In My Service Center, select My Schedule Hub.

3 - My Schedule Hub

The "My Schedule Hub" page will open showing your schedule calendar. (If this does not open the first time, click on My Schedule Hub again.)

       

4 - Select a Date

Click on a date with a shift you wish to Swap or Give Away, the right side will show the available actions and the details for that day.

5 - Select "Swap" or "Give Away"

Click on the blue "Swap" icon with two arrows on the day details. This will start the process to exchange a shift with another person. Notice that the times of shift are already filled in. If you are not working a shift in exchange, you click "Give Away". 

Note: The Co-Worker schedule and Billboard will be discussed in a different article.


6 - Search or Select Name 

You will see two options listed below the shift times.  


The first option: Click the magnifying glass icon on the search box to find a person by name or number. If you search by name, enter last name comma space then two to three characters of the first name.


The second option: Located beneath the search box you will see a list of "Eligible Teammates" who qualify to work your shift.


7 - Choose Shift (Swap Option)

After you select the person for the swap, you will then need to chose their shift you plan to work in exchange. The first date may not have a shift available, so use the date arrows to find a future date with shifts.  

When you find a shift you plan to work, click the circle next to the shift to select it. Then click "Continue".

Note: The "Cancel" option is not working at this point, but you can "X" out of the screen if you chose not to move forward with your Sway Shift Request.


8 - Choose Employee (Give Away Option)

NOTE:  During a Shift Give Option, you will not select a shift from the other person to exchange.  Instead, you are requesting the staff member to accept the shift you wish to give away. 

Select "Continue".

Note: The "Cancel" option is not working at this point, but you can "X" out of the screen if you chose not to move forward with the Give Away shift request.


9 - Submit Swap/Give Away Shift Request 

If your request is for a Swap, a confirmation message will display listing the shift you are requesting to swap.  If your request is for a give away, the shift you are requesting to give away will display.  The staff member must accept the swap or give away before the request can be approved.   You may enter a message for the selected staff member for the swap or give away shift request.    Select "Submit" to continue.


10 - Submission Confirmation

A message will appear to confirm the action was submitted to send the request to the selected person.



11 - Confirmation (Submission Approval/Rejection Status)

Return to my schedule hub to see the status of your pending request.   In addition, you will receive a response in WFM Messages when the Swap or Give Away request is approved or rejected.

Please Note: Staff are expected to work their scheduled shift until the Swap is completed by the other person. If the Swap is still Pending when your shift is getting closer, contact your unit scheduler for assistance.
