Medical Students - Getting Started

Welcome to Children's of Alabama (COA)! We are thrilled to have you join us for your rotation. This guide is intended to ensure your onboarding at our hospital is smooth and straightforward. Below you will find essential information on setting up your COA network account, completing required training, obtaining your COA badge, and much more. We kindly ask that you complete all necessary steps prior to your arrival, ensuring a seamless transition into your rotation. 

Prior To Arrival:

  • Submit an online security access form, including a photo for your badge.
    • This security form is required for all new arrivals, regardless of parking privileges. If you already have an active COA badge, you do not have to fill this out again. 
    • In order for you to receive your Security Badge on arrival, you will need to complete the Security Badge Form at least a week before your start date.

    • Please include a clear photo upload of your face only in the form.

  • Set up your COA Network Account and Register for Okta Single Sign On.
    • To begin the process of setting up your COA network account, please visit: portal.chsys.org
    • If this is your first time accessing the COA network, please login with the Username and Password provided to you by COA. Otherwise, if you are a returning student with an active COA account, you can continue to use the password you established previously. If logging in for the first time, you will be required to reset your default password and then register for OKTA which is our Multi-Factor Authentication service.
      • Resetting your default password.
        • Passwords must be at least 8 characters long and are case sensitive
        • Passwords must contain alpha characters, numbers, and at least one (1) special character. i.e; ~!@#$%^&* (No spaces allowed.)
        • Passwords may not include part of the user's name or username.
    • For Username/Password issues, please contact our IT Helpdesk whose contact information can be found at the end of the article.

COA Portal Sign On Screen


  • Once signed on to the portal, you will be directed to a screen with additional menu options. The menu options will vary based on security access but will look like:


  • Complete all assigned courses and curriculums in Children's University.
    • In the portal, please select the weblink for Children's University.
    • You will use the same network user ID and password you set on your portal above.
      • Once logged in, hover over Learning on the toolbar in CU, then click on View your Transcript. Here you will see any courses assigned to you. You should have training for Prescriber Core Curriculum assigned to you. 
      • You will also need to complete EPIC training to gain access to the system. 
        • In the search box, please type 'Medical Student'
        • Select the Epic Providers Training that matches your area of study and complete the curriculum
        • After completion of the Epic Providers curriculum, Children's University will automatically send a request for your Epic training block to be removed. Please allow 24 – 48hrs for training block removal after curriculum completion.
  • Go to security to pick up your badge
    • If your course contact has not already picked up your badge, please visit the security office to obtain your badge. 
    • The Security Office is located at the 16th Street entrance to the 5th Avenue parking deck (1601 5th Ave S, Birmingham, AL 35233)
    • If there is any problem with your badge name or title, please email [email protected].
