WFM - How to Request Time Off

WFM is a time management application used for scheduling & timekeeping, helping ensure employees receive timely and accurate pay for hours worked.  The detailed view of your timesheet displays dates, hours, and times for each day you work within a pay period. You should review your time details weekly and raise any concerns so that issues can be addressed well before the pay period ends.  This article guides you on submitting a Time Off Request in WFM for approval.

From Staff Self Service:


1. Select "My WFM Time & Schedule".


  
2. Select "Request Time Off"


Welcome to the WFM Self Service Portal.  

3. Select the "Hamburger Menu" to view the self service option menu.



The Self Service Portal menu provides access to your Profile, Schedule Hub, Review Clocks, Self Scheduling, Request Time Off, and Timesheet options in WFM.


4. Select "Request Time Off".   




This is the Request Time Off screen.  Here you can view your PTO and EIB Balances from the Request Time Off Calendar.  

It's a good idea to check your balances before entering Time Off Requests.



5. You will find a link to your PTO and EIB Balances in the upper right hand corner of the Request Time Off screen.



6. Select the date on the calendar for your time off request.

7. Click the "Search" icon in the Type: field.



When submitting a time off request, it is essential that you choose the correct Type: for your request.

8. Select the Type: code for your request.

  • To select the correct Type: code, left-click in the "Search" field.
  • Press the "Tab" button on your keyboard until you reach the Type: code for your request.
  • Left-click on the Type: code to select it.

NOTE:  If your mouse is equipped with a wheel, you can use the wheel to scroll down to view additional Type: codes.



9. The time off code populates in the "Type" field. 



10. Select the clock icon in the "Absence" field.



11. When submitting time off request, ALWAYS select "Partial" for the Time of Absence.  

NOTE: This applies to all time off request whether you are requesting time off for your entire shift or for a portion of your scheduled work hours. 



12. Enter the Start and End Times in the "Start Time" and "End Time" fields.

NOTE: The system defaults to AM for the Start and End Times.  Left-click the AM toggle to switch the time to PM. 

  


13 Verify that the Start and End Times for your Time Off Request are correct.

14. Select "Done" to save your changes.



15. Select the "Search" icon in the Reason* field. 



16. As with the Type: code, it is essential that you select the correct Reason * code for your time off request.  

  • To locate the correct Reason * code, left-click in the "Search" field.
  • Press the "Tab" button on your keyboard until you reach the Reason * code for your request.
  • Left-click on the Reason: code to select it.

NOTE: If your mouse is equipped with a wheel, you can use the wheel to scroll down to view additional Reason * codes.



17. The Reason code is populates in the Reason * filed. 




18. Provide any relevant information regarding your time off request in the "Comment": field.  





19.  Select "Apply Time Off" to save your request in the system.




Your Time Off Request is saved in the system but is not submitted for approval.  


Review the information entered for accuracy before submitting the request.

20. Select "Submit Time Off" to submit your request.





21. Your Time Off Request is updated on the Request Time Off Calendar.


22. You will receive a notification in our Outlook email once your supervisor reviews your request for time off.   

NOTE: If you need to cancel a time off request in WFM, you can do so within the current open pay period and before your time off request is approved.   The open pay period ends at noon on the Monday of the pay period close.  

For example, if the pay period begins on 6/5 and closes on 6/18, you can submit or cancel time off request until noon on Monday, 6/19. Be sure to check the pay period calendar for the pay period close dates.
